Committee roles
We’re always happy to hear from anyone interested in joining the exec committee. Check out the role descriptions below, and feel free to contact us if you’re interested in a vacant position.
It's important to note that while the time commitment may vary for each role, all elected members are expected to:
Attend the P&C general meeting twice per term
Participate in the P&C executive committee meeting once or twice per term
Volunteer at P&C-led events, whenever possible

The P&C President is responsible for:
The successful functioning of the P&C Association
The attainment of the P&C Association’s objectives
Ensuring that the P&C Association takes part in decision-making processes in the school
Fostering fair participation of all members and ensuring that all new members are made to feel welcome
Supporting volunteers
Consistent adherence to the constitution
Acting as the P&C Association’s spokesperson when public statements or actions are needed
Setting up lines of communication with the Principal
Being a signatory on the Association’s bank accounts
Chairing meetings (in the absence of the President, one of the Vice-Presidents will chair the meeting).

The Vice-President:
Provides support and assistance to the President
Chairs meetings if the President is absent
Attends all P&C and executive meetings
Communicates with the Principal and other community members where necessary
Helps to resolve issues that may arise

The Vice-President:

Provides support to the Events & Fundraising team

The Secretary’s role is to:
Prepare and circulate agendas for all executive, general, and annual general meetings
Prepare and circulate meeting minutes for all executive, general, and annual general meetings
Maintain a record of voting members
Circulate any relevant emails from the P&C Federation to executive members

The Treasurer is responsible for:
Maintaining the P&C’s financial records and accounts
Preparing and presenting financial reports at P&C meetings
Preparing the annual budget
Facilitating payments from the P&C
Receiving and depositing fundraising cash
Arranging the annual audit of the accounts
Administering the bank accounts
The provision of cash and/or payment systems at events

The Canteen Coordinator is responsible for:
Organising volunteers for the canteen and canteen-run events
Advocating for funds and policies specific to the canteen
Communicating P&C messages to canteen volunteers
Submitting a canteen update in the weekly school newsletter (if applicable)
Providing a report at P&C general meetings

The Communications Coordinator is responsible for:
Collating a weekly message for the school newsletter
Administration of the BPPS Facebook page, including creating posts with P&C messages
Creation of the yearly Class Parent WhatsApp group
Dissemination of relevant P&C messages to the Class Parents
Updating and maintaining the BPPS P&C website

The role of the Creative Arts Coordinator is to:
Organise volunteers for concerts
Advocate for funds and policies specific to creative arts
Communicate P&C messages to arts and music families
Provide a report at P&C general meetings

The Events and Fundraising Coordinator’s role is to:
Act as a key point of contact for all fundraising events
Disseminate information to year groups and provide support with fundraising events
Recruit volunteers to assist with fundraising events
Submit insurance forms to the P&C Federation for each event
Manage ticketing and RSVPs via Flexischools
Keep the school informed of upcoming events (and related equipment requirements such as tables and BBQs)
Provide a report at the P&C general meetings
Order food for BBQs (with the support of the Canteen)

The Sponsorship Coordinator’s role is to secure sponsorship from local businesses.
This recently created role presents a great opportunity for a new committee member to take the initiative and make it their own.
